Hiring Student Workers

New Hire Requirements

All newly hired student employees must complete the following before their first day of work:

  • I-9 Employment Eligibility Verification:
    The I-9 is a federal requirement and must be completed before the student’s start date.

  • W-4 (Tax Withholding Form):
    Students may submit or update their W-4 information online by logging into Oracle, navigating to:
    Navigator > Me > Pay > Tax Withholding

Work Hour Limitations

Undergraduate and International Students

  • Maximum of 19 hours per week across all positions while school is in session

  • May work up to 40 hours per week during official university breaks (summer, winter, holidays)

⚠️ Note: International students working at 91 Medical Center (VUMC) are limited to roles that directly support 91 academic operations or student services.

Graduate and Professional Students

  • Limited to 29.5 hours per week while school is in session

  • May work up to 40 hours per week during official breaks

  • Individual academic programs may impose additional hour restrictions

Summer Break Work Hours

All enrolled students may work up to 40 hours per week, across all jobs combined, during the summer months and official university breaks.

Federal Work Study (FWS) Eligibility & Hiring

Before processing an FWS hire, please:

  1. Confirm FWS Eligibility

    • Use the Federal Work Study Eligibility Report in HireADore

  2. Complete the Hire in Oracle

    • Once approved through workflow, the HCM Specialist must add the FWS costing string

💡 Note: Any change from a regular student worker assignment to an FWS assignment must align with a biweekly pay period start date.
